Terms and Conditions

These Terms and Conditions apply to classes, workshops, trial lessons and other services provided by Primary Writers Education Pty Ltd (ABN 66 642 748 918), referred to as “Primary Writers”.
By enrolling a student or booking a service, the parent or carer agrees to these Terms and Conditions.
1. Enrolment and payment
A student’s place is confirmed once the required enrolment information and full payment have been received.
Group classes must be booked and paid for by the full school term, in advance. Trial lessons must be paid for before attendance.
Places are subject to availability. Primary Writers may recommend a different class or program if it is more suitable for the student.
Parents and carers must provide accurate and current information details – including contact, school, medical, allergy, learning-support, etc.
2. Cancelling a term booking
To cancel a term booking, written notice must be provided at least 15 days before the term begins.
If less than 15 days’ notice is provided, the term fees will not be refundable. Primary Writers may consider exceptional circumstances at its discretion.
3. Absences and make-up classes
If a student cannot attend a group class, a parent or carer must email info@primarywriters.com.au , ideally at least 24 hours before the class or as soon as possible.
The notice must be received during office hours.
Where sufficient notice is provided, the student may attend a similar-level group class within two weeks, subject to availability. There is no additional fee for an approved make-up class.
Make-up classes:
● Must be taken within two weeks of the missed class.
● Cannot be guaranteed and depend on available places.
● Cannot be transferred to holiday programs.
● Are not refundable or exchangeable for credit.
● Are forfeited if the student does not attend the arranged make-up class.
If a suitable make-up class is unavailable, Primary Writers may provide the relevant work booklet. Feedback will be provided if the completed work is returned within a reasonable time.
4. No-shows
An absence without the required notice will be treated as a no-show.
No-shows are not eligible for a make-up class, credit or refund.
Three no-shows in one semester may result in a review of the student’s enrolment.
5. Late arrival
Parents and carers should notify Primary Writers if a student will be more than 15 minutes late.
Late students may join the class already in progress but the class will still finish at its scheduled time.
6. Student collection and departure
Students will only be released to an authorised collector unless an alternative written arrangement has been accepted by Primary Writers.
Parents and carers are responsible for supervising students before the scheduled start time and collecting them promptly after the class.
7. Illness, allergies and medication
Students must not attend if they are seriously unwell, contagious or unable to participate safely.
If a student becomes unwell during a class, Primary Writers will contact the parent, carer or emergency contact and may request that the student be collected promptly.
Parents and carers must disclose relevant allergies, medical conditions and medication requirements. Current medical action plans and properly labelled emergency medication must be provided where required.
In an emergency, Primary Writers may provide first aid, call 000 or arrange ambulance assistance. Any ambulance or medical costs remain the family’s responsibility unless the law provides otherwise.
8. Student and parent conduct
Students, parents and carers must treat staff, visitors and other students with respect.
Bullying, harassment, discrimination, violence, threatening behaviour, deliberate property damage or serious disruption will not be accepted.
Primary Writers will use fair and age-appropriate behaviour-management strategies. Serious or repeated misconduct may result in a parent being contacted, early collection, suspension or cancellation of enrolment.
Where Primary Writers ends an enrolment, any refund will be considered according to the circumstances and applicable consumer law.
9. Child safety
Primary Writers is committed to providing a safe, respectful and child-focused learning environment. Child abuse, grooming, neglect, exploitation, discrimination and retaliation against anyone raising a concern are not tolerated.
Primary Writers will:
● Take children’s concerns seriously and listen respectfully.
● Use appropriate supervision and maintain professional boundaries.
● Complete Working With Children Check verification where required.
● Use appropriate recruitment, induction and safeguarding practices.
● Avoid unnecessary private or isolated contact between adults and children.
● Use approved communication channels when contacting students.
● Respond promptly to safety concerns, disclosures and allegations.
● Keep appropriate records and make external reports where required by law.
● Seek separate parent or carer consent before using a child’s image, testimonial or identifiable work for promotion.
Staff must not use corporal punishment, humiliating treatment, sexualised language, secret communications, favouritism or inappropriate physical contact.
If a child is in immediate danger, call 000. Child protection concerns may also be reported to the NSW Child Protection Helpline on 13 21 11.
10. Complaints and concerns
A student, parent or carer may raise a concern with any trusted Primary Writers staff member or contact:

Complaints will be handled respectfully, promptly and as confidentially as reasonably possible.
Child-safety concerns may be reported directly to a Director, Police, the NSW Department of Communities and Justice or another appropriate authority. A person raising a genuine concern will not be disadvantaged for doing so.
11. Teacher absence and cancelled classes
If a teacher is unavailable, Primary Writers will provide a suitable replacement.
If a replacement is unavailable, Primary Writers may reschedule the class. If the rescheduled class is not reasonably suitable, a credit or refund for the affected lesson will be offered.
Primary Writers may also change a classroom, teacher, lesson sequence or delivery method where reasonably necessary, provided the main nature and value of the service are maintained.
12. Privacy, photographs and student work
Primary Writers may collect information needed to manage enrolments, payments, learning support, communication, safety and legal obligations.
Information will only be used or disclosed for legitimate business, educational, safety or legal purposes.
Students retain ownership of their original work. Primary Writers may use student work internally for teaching, assessment and feedback.
Photographs, videos, testimonials or identifiable student work will not be used for marketing without separate parent or carer consent. Promotional consent is optional and may be withdrawn for future use.
Students and families must not record, photograph or distribute a class or another student’s work without permission.
13. Australian Consumer Law
Primary Writers’ services come with consumer guarantees that cannot legally be excluded.
Nothing in these Terms removes or restricts a right or remedy available under the Australian Consumer Law.
To the extent permitted by law, Primary Writers is not responsible for indirect loss, personal belongings or events outside its reasonable control.
14. Changes to these Terms
Primary Writers may update these Terms for future bookings. Families will receive reasonable notice of any important change affecting an existing enrolment. These Terms are governed by the laws of New South Wales and Australia.
